Moving always costs more than people expect. Not because packers and movers are trying to overcharge you — but because most people plan the move without planning the budget. They call a company, get a number, and assume that is what they will pay. Then extra charges show up on move day and suddenly the cost is 40% higher than what was quoted on the phone.
The good news is that a large part of what drives shifting costs up is avoidable. Not all of it — but enough that with a little planning, you can move without burning through money you did not budget for.
These tips are not theories. They come from years of handling home and office moves across India. Some of them will save you a few hundred rupees. Some will save you several thousand. All of them are worth knowing before you book anyone.
The First Thing Most People Get Wrong
Before we get into tips, this needs to be said clearly: the cheapest quote is not always the cheapest move.
It sounds obvious when you read it. But when you are juggling a move date, a deposit at the new place, and a hundred other things, the lowest number looks very attractive. The problem is that a lot of companies quote low to win the booking and charge more once your goods are in the truck. By that point, you have no options.
The goal when shifting under budget is not to find the lowest quote. It is to find a fair quote that covers everything — and to remove as many unnecessary costs as possible before that quote is even generated.
That is a different thing, and the rest of this guide is about how to do it.
Declutter Before Anyone Arrives
This is the single most effective thing you can do to bring down your shifting cost — and most people skip it or do it halfway.
Here is why it matters: packers and movers charge based on volume. The more things you have, the more packing material they use, the more loading time they need, and the bigger the vehicle required. A 2 BHK that has been properly decluttered can sometimes fit in a vehicle one size smaller than what a full 2 BHK would need. That size difference in vehicle cost alone can be ₹2,000–₃,500.
Go through every room two to three weeks before the move. Be ruthless. Clothes that have not been worn in a year, appliances that stopped working six months ago, furniture you are keeping only because getting rid of it feels like effort — all of this costs money to move and usually costs money to figure out at the destination too.
Sell what you can on OLX or Facebook Marketplace. Donate the rest. Whatever you genuinely cannot move or sell, throw out before move day. Heavy items like old water tanks, broken washing machines, or mattresses past their use are cheaper to replace than to shift.
If you do this properly, you will move fewer things, pay for a smaller vehicle, reduce packing time, and pay less in labour. The savings are direct and real.
Pack What You Can, Yourself
Professional packing is not always necessary for every item in your home. Clothes, books, bedsheets, towels, soft toys, shoes — all of these can be packed by you in the days before the move. Use what you already have at home: suitcases, duffel bags, reusable grocery bags, plastic storage bins. These all count.
The money you save is on packing labour and on the packing material the company would have charged for boxing these items.
Leave the fragile items for the professionals. Glassware, crockery, electronics, mirrors, artwork, and anything that can crack or scratch in transit should not be packed in a hurry by someone without the right materials. A damaged television or a cracked glass cabinet costs more to replace than the packing labour you saved.
The split is simple: anything soft or non-breakable, you can pack. Everything else, let the team handle it with proper bubble wrap, corrugated sheets, and foam padding.
Get Written Quotes, Not Phone Estimates
Phone estimates are guesses. A company cannot accurately price your move without knowing exactly how much you have, what floor you are on, whether there is a lift, what kind of items need special handling, and how far the vehicle needs to travel.
When you get a verbal quote over the phone and then the team arrives and sees a three-floor walk-up with a full 2 BHK and a heavy marble dining table, the price changes. And you have no written agreement to fall back on.
Ask every company you approach for a written quote with a full itemised breakup. It should include:
Labour charges — how many workers, estimated hours. Packing material — whether it is included or billed separately. Vehicle type and size. Staircase charges, if any. Distance or route charges for intercity moves. Transit insurance — whether it is optional or included. GST.
When you have two or three written quotes in front of you, the differences become obvious. The company quoting ₹5,000 may have excluded packing material and staircase charges that the company quoting ₹7,000 included. The ₹7,000 quote is the cheaper one in practice.
A good mover will do a home survey before giving a written quote for anything above a 1 BHK. If a company is willing to quote firm numbers without seeing your home, treat that as a flag.
Choose the Right Vehicle Size
One thing that adds unnecessary cost: using a bigger truck than the move requires.
Some companies default to larger vehicles because the rate is higher. If you have already decluttered and packed non-fragile items yourself, your actual volume is probably smaller than you think. Ask the company what vehicle size they recommend and why. If you have gotten a home survey done, they should be able to tell you exactly.
Here is a rough guide to what generally applies:
For a 1 BHK with light furniture, a Tata Ace or Chhota Hathi is usually enough. For a fuller 1 BHK or a light 2 BHK, a Bolero pickup or similar works. For a standard 2 BHK, a 17-foot truck is typically the right call. For a 3 BHK or above, you are looking at a 19–24 foot truck depending on how much you have.
If you have been told you need a 24-foot truck and you have a 2 BHK, ask why. There may be a valid reason — particularly heavy furniture, a large number of items, or multiple appliances. But there may also not be.
Book at the Right Time
Shifting costs are not fixed. They move with demand.
The most expensive time to shift is the last week of the month. A lot of lease agreements and job offers begin on the 1st, so the 27th through the 1st is when everyone is calling packers and movers simultaneously. Availability drops, prices go up.
Weekends are the same story. Saturday and Sunday bookings cost more than mid-week.
If you can be flexible, book your move for a Tuesday, Wednesday, or Thursday somewhere between the 10th and 20th of the month. You will get better availability, a more attentive crew that has not already done two jobs that day, and in most cases a lower rate.
Summer school holidays and the October-to-February period are also busy for residential moves across India. If your move falls in this window, book earlier and confirm your date in writing.
Do Not Skip Transit Insurance
This is the one place you should not try to save money.
Transit insurance for a local home move costs ₹500–₁,500 depending on the declared value of your goods. The cost of replacing a 55-inch television that gets cracked in transit is ₹40,000–₅0,000. The math is not complicated.
For intercity moves — anything where your goods spend several hours or longer in a vehicle — transit insurance is even more important. The longer the goods are on the road, the more opportunity there is for something to go wrong.
When asking about insurance, do not accept “we take full responsibility” as an answer. That is not insurance. Ask for the policy terms in writing. Ask specifically what is covered and what is excluded. A legitimate moving company either has their own transit insurance arrangement or partners with an insurer for it.
Ask About Every Possible Extra Charge Upfront
Hidden charges are the number one reason people feel cheated after a move. The frustrating part is that most of these charges are not actually hidden — they are just never discussed before move day.
Before you confirm any booking, ask the company specifically about:
Staircase charges. If there is no lift and the movers have to carry goods up or down multiple floors, some companies charge per floor per trip. Ask upfront. If they say there is no staircase charge, get it in writing.
Packing material. Is it included in the quote or billed separately? If separately, at what rate?
Waiting charges. If the goods arrive at the destination and access is delayed — the keys are not ready, the building security is slow — some companies charge for the waiting time. Rare, but worth asking.
Fuel surcharge. Usually applies on longer routes. Most companies include it in the quoted price, but some add it at the end.
GST. Should be included in any quote from a registered company. If a company is not mentioning GST at all, that is worth looking into.
None of these are unreasonable charges. The problem is when they appear for the first time once your goods are on the truck and you have no options left.
Confirm Access at Both Ends Before Move Day
This is a logistical tip that saves money in a practical way.
If the truck cannot park close to your building, goods have to be hand-carried a longer distance. This takes more time and more labour. If there is no lift and the crew discovers this on the morning of the move, they adjust the time estimate — and sometimes the price.
Tell your moving company exactly what the access situation is at both the pickup and delivery addresses. Floor number. Lift availability. Nearest parking. Any time restrictions on large vehicle entry (some residential societies have rules about this).
When they know in advance, they plan for it. When they find out on move day, it costs you.
A Realistic Picture of What Shifting Costs
These are honest market estimates for 2025 — complete service figures that include packing material, labour, vehicle, and basic transit coverage. Not stripped-down quotes with everything billed separately.

What You Should Not Cut
You can save money on the vehicle size. You can save on packing labour for non-fragile items. You can save by decluttering aggressively and booking at a less busy time. These are real savings with no real downside.
What you should not cut:
Packing quality for fragile items. One broken appliance or cracked glass cabinet wipes out the savings immediately.
Transit insurance. Already covered above.
The home survey for larger moves. A site visit before the quote is how accurate estimates get made. Skip this and the estimate is a guess — and guesses have a way of going wrong in the direction of more money.
Verified, registered movers. A truck and two guys hired off the street the morning of your move may be cheaper. They may also have no accountability if something goes missing or gets damaged. For most people, the risk is not worth the saving.
The Short Version
If you want to shift under budget without getting burned, here is what it actually comes down to:
Declutter seriously before the move — cut at least 20–30% of what you think you are moving. Pack non-fragile items yourself using what you already have at home. Get written, itemised quotes from at least three companies and compare them line by line. Book mid-week and mid-month if your schedule allows. Confirm access conditions at both ends before move day. Get the total amount in writing before the crew starts work.
Do these six things and your shifting cost will almost certainly be lower than if you had not. Not because you found the cheapest company — but because you removed the things that drive costs up before anyone even showed up at your door.
